The successful candidate will be responsible for delivering timely, efficient, and effective administrative, executive, and operational support to senior leadership. This role is critical in enabling executives to focus on strategic priorities, governance, and high impact business responsibilities within a fast paced and highly regulated environment.
Key Responsibilities
Executive, Governance, and Reporting Support
- Provide proactive diary management, calendar planning, and scheduling of meetings for executives and Programme Management Office leadership
- Coordinate governance structures including Programme Management Office forums, Steering Committees, Chief Executive Officer meetings, and other business governance platforms
- Prepare meeting agendas, packs, presentations, and reports with a high level of accuracy and professionalism
- Take detailed minutes during meetings and ensure proper tracking and follow up of action items
- Maintain governance documentation, records, approvals, and filing systems in line with organisational standards

Project Administration and Programme Management Office Support
- Provide administrative support across all Business Delivery Life Cycle phases and stage gates
- Maintain and manage project documentation including business cases, project charters, project plans, risk and issue logs, testing evidence, and closure documentation
- Update and maintain governance trackers and ensure all actions are followed up within agreed timelines
- Support internal and external audit processes, compliance reviews, and assurance activities
- Ensure that all Programme Management Office documentation and repositories are maintained in accordance with company standards and policies
Meetings, Events, and Logistics Coordination
- Coordinate and manage meeting room bookings, virtual meetings, and recordings
- Organise venues, catering, workshops, conferences, and corporate events
- Provide on the day support for meetings and events, including minute taking and coordination of logistics
Operational and General Administration
- Process travel bookings, accommodation arrangements, and expense claims accurately and on time
- Manage approvals, reminders, cost allocations, and effort tracking within the business unit
- Coordinate internal communications and ensure smooth flow of information across teams
- Provide administrative support to costing committees and approval boards
Systems Access and Asset Management
- Administer system access requests through platforms such as ServiceNow and Identity and Access Governance systems
- Log, monitor, and follow up on Information Technology support tickets
- Track and manage company assets including laptops, tablets, vouchers, and inventory items
- Maintain storeroom controls and ensure accurate inventory management
Incentives, Campaigns, and Events Support
- Coordinate internal incentive campaigns, employee recognition programmes, and awards
- Process eBucks submissions and related Human Resources documentation
- Draft and distribute communication to campaign participants and stakeholders
- Support planning and execution of internal and external business events
Minimum Requirements
Qualifications
- Matric Certificate or Grade Twelve qualification is required
- A qualification in Secretarial Studies, Administrative Management, Business Management, or Project Management at National Qualifications Framework Level Five or higher will be advantageous
Experience
- A minimum of three to five years of experience working as a Personal Assistant, Executive Assistant, or Administrative Support Specialist
- Proven experience providing support to senior management or executive level stakeholders
- Previous exposure to Programme Management Office environments, project administration, or financial services industry will be beneficial
Required Skills and Competencies
- Advanced proficiency in Microsoft Outlook, Microsoft Word, Microsoft Excel, and Microsoft PowerPoint
- Strong organisational, planning, and time management skills
- Excellent written and verbal communication abilities
- Strong stakeholder engagement and relationship management skills
- High level of attention to detail and accuracy
- Professionalism, discretion, and ability to handle confidential information
- Ability to work under pressure, manage multiple priorities, and meet strict deadlines
