Requirements
Applicants must have a Senior Certificate / Grade 12.
No previous work experience is required.
Candidates should have knowledge or an understanding of administrative and financial systems, including:
- Works Control System (WCS)
- Basic Accounting System (BAS)
- Public Finance Management Act (PFMA)
- Treasury Regulations
- Financial management and administration
- State budgetary systems
- Business, accounting and financial systems
- LOGIS
Applicants should also have good numeracy, accounting, organisational and communication skills.
Computer literacy, problem-solving abilities, good interpersonal skills, diplomacy and the ability to work proactively will be important in the position.
Duties and Responsibilities
The successful candidates will perform various administrative and clerical duties within the workshop environment.
Administration of Job Cards
Responsibilities will include registering and filing new job cards, following up on outstanding job cards and monitoring updates made to job cards.
The clerks will also circulate information relating to job cards and assist with queries or problems concerning job cards.
General Administrative Support
The successful applicants will assist with general office administration, including:
- Ordering workshop materials and equipment
- Recording and capturing correspondence and information
- Organising and storing documents
- Retrieving documents and information when required
- Updating registers and statistics
- Making photocopies
- Distributing documents and packages to relevant stakeholders
Client Complaints and Enquiries
Administrative Clerks will assist with client queries and complaints by maintaining a query register, responding to enquiries or referring them to the relevant manager.
They will also follow up on outstanding complaints and enquiries and provide feedback to clients.
Meeting Administration
The position may also involve assisting with meetings.
Duties can include confirming stakeholder availability, arranging meetings, taking minutes, organising meeting logistics and preparing and distributing meeting documents.
Personnel and Financial Administration
Successful candidates will also provide personnel and financial administration support.
This may include capturing and updating expenditure, checking subsistence and travel claims before submission for approval, assisting with telephone accounts and handling petty cash for the component.
